A literature review is not a book report on every paper you found. It is an argument about the state of knowledge on your topic: what is settled, what is contested, what is missing, and where your own work fits. Examiners and reviewers can tell within a paragraph whether you understand that difference. What a literature review actually does
A strong review does four jobs at once:
- Maps the field into themes, methods, or schools of thought.
- Evaluates the quality and limits of the evidence, rather than just summarizing it.
- Synthesizes across sources to show agreement, tension, and gaps.
- Positions your research question as the logical next step.
If a paragraph does none of these — if it only reports "Author (2021) found X" — it is a summary, not a review. The fastest way to raise the quality of a draft is to reread each paragraph and ask: what am I claiming here, and which sources support it?
Step 1: Define a searchable question
Before you read anything, write your question in one sentence and underline the two or three concepts that matter. Those concepts become your search terms. A vague question ("everything about remote work") produces an unmanageable pile; a scoped question ("effects of remote work on early-career software engineers' productivity") tells you what to include and, just as importantly, what to leave out.
Decide your boundaries up front and write them down:
- Date range (e.g. last 10 years, plus seminal older work)
- Disciplines or venues you will trust
- Study types (empirical only? reviews? theory?)
- Languages
These boundaries are your inclusion criteria. Stating them makes your review defensible and repeatable.
Step 2: Search systematically, not randomly
Most weak reviews come from an unsystematic search — a handful of papers the author already knew plus whatever surfaced first. Instead, search several complementary academic indexes and keep a log of what you searched and when:

Step 3: Read for structure, not just content
As you read, tag each source with more than its findings. For every paper, note:
- The claim or contribution
- The method and sample
- The limitation the authors admit
- How it relates to other papers (agrees, extends, contradicts)
That last column is what turns a pile of summaries into a synthesis. When two papers disagree, you have a theme. When several papers share the same limitation, you have a gap — and a gap is where your contribution lives.
Step 4: Organize thematically
Organize by theme, not by paper and not by date. A paper-by-paper structure ("Smith says… Jones says… Lee says…") reads like a list and hides your thinking. A thematic structure groups sources under the debates they belong to:
- Pick 3–5 themes that together cover the field.
- Under each theme, synthesize what the sources collectively show.
- End each theme by naming the tension or open question it leaves.
- Let those open questions build toward your research gap.
A simple outline that works for most fields:
- Introduction — scope, question, and how the review is organized
- Theme 1…n — synthesis and critique, one debate per section
- Gap — what the literature has not resolved
- Positioning — how your study addresses that gap
Step 5: Write synthesis paragraphs, not summaries
The unit of a good review is the synthesis paragraph: a claim about the literature, supported by several sources read together. A useful template:
Topic sentence stating a pattern across the field. Several studies support this (A, 2019; B, 2021), though they differ in [method/scope]. C (2022) complicates the picture by showing [contrast]. Taken together, this suggests [your interpretation], which leaves [open question] unresolved.
Notice that the sources serve your sentence. You are not walking through papers; you are building a case and citing evidence as you go.
Step 6: Verify every citation before you submit

- Week 1 — scope the question, set inclusion criteria, run and log searches
- Week 2 — read and tag sources, build the theme map
- Week 3 — draft synthesis paragraphs theme by theme
- Week 4 — write the gap and positioning, then verify every citation
